Start with identity and the document date
Find the scheme or product name, provider or administrator, private reference and the date the figures describe. Keep the original document in your own records. Check whether it is an annual statement, a quotation or a provider reply before treating its figures as current.
A document arriving today may describe an earlier date. Record both dates if that matters to an enquiry. Do not use the arrival date as the balance date. If the letter concerns a different employer or account from the one you asked about, ask for clarification before marking the search complete.
Read the label beside each figure
Defined contribution pensions build an invested pot; defined benefit pensions describe benefits under scheme rules. The distinction changes how to read a statement. A pot balance, projected retirement income and promised scheme income should be labelled separately.
On a fictional statement, “value at the statement date” and “illustrated income at retirement” answer different questions. Copy the label, unit and date into your notes instead of keeping only the largest number. Do not turn an illustration into a confirmed benefit or add annual income to a cash pot total.

Keep conditions with projections
If a document includes projections, read the accompanying assumptions and conditions. Keep that explanatory page with the figures, especially when comparing documents from different dates. A later illustration may use different assumptions, so an unexplained difference is a question to ask rather than proof of an error.
Use your notes to distinguish a value you actually have evidence for from a possible future outcome. All Pensions records dated DC values that you enter; it does not validate a provider statement or generate a retirement projection.
- Note which figure is an actual dated value.
- Keep the units and assumptions with estimates.
- Ask the provider what unclear labels mean.
Turn uncertainty into an information request
Write a short list of questions referring to the document date and the relevant section. For example: “Which scheme does this reference identify?” or “Is this amount a pot value or income per year?” Keep the answer with the original question so a future enquiry has context.
This reading method does not determine whether charges are good value, whether benefits should be transferred or whether an investment should change. Those are separate decisions. First establish what the statement says and which account it concerns through a verified provider channel.
