Start with a pay period and a question
Choose the pay period you want explained. Keep the payslip date, the pension line as shown and the date of any scheme record you are comparing. Describe what looks unclear without labelling it a missing payment before the records have been checked.
For example, a fictional worker sees a deduction on a payslip but cannot find a corresponding entry in their scheme account. Their first task is to ask which contribution period and posting date that deduction relates to. This example does not establish a normal processing time.
Ask which calculation basis applies
GOV.UK says contributions and the earnings used depend on the scheme rules. Ask payroll what pay is included and how your arrangement works, rather than applying one percentage to every figure on your payslip.
Payslip presentation can also depend on the pension’s tax-relief arrangement. Ask which arrangement is used. This guide does not calculate a tax claim, publish current contribution thresholds or recommend changing your payments.

Send a specific enquiry through an official route
Ask payroll to explain the deduction, the period it covers and the contribution information sent to the scheme. Ask the scheme to explain the record you are viewing. Keep each reply with the date and the question it answered.
A clear query might say: “Please explain how the pension entry for this pay period relates to my scheme record, and tell me what further information you need.” Supply sensitive reference details only through the verified process requested by the recipient.
- Keep copies of the relevant payslip and scheme record privately.
- Separate your deduction, employer payments and other entries as labelled.
- Record unanswered questions instead of replacing them with guesses.
If the explanation remains unclear
Ask for the relevant complaints or query process when the explanation does not resolve the issue. GOV.UK directs scheme-specific questions to the employer or provider and links to MoneyHelper for information. Concerns about automatic enrolment have a separate route to The Pensions Regulator.
The Passport tracing status is an organising label, not a contribution audit. Neither the browser Passport nor this guide can inspect payroll, verify payment receipt or decide a complaint.
